  • Overview

    There is one opening with Yakima County Public Services.  This position is responsible for processing records into a digital imaging system in accordance with established procedures and provides general office support.   This recruitment may be used to fill future Office Assistant openings which may occur within 90 days of the posted closing date.


    This position requires a proficiency exam that includes: Grammar, Punctuation and Alphanumeric to be taken in Yakima County Human Resources, 128 N 2nd Street, Room B-27.  The exam must be completed by 3:30pm of the closing date.  




    Processes records into a digital imaging system in accordance with established procedures by organizing, alphabetizing, scanning and filing various records and documents; prepares documents; creates the batch; loads the machine; selects appropriate commands and enhancements; monitors the imaging product through spot checks to ensure documents will be accessible in the future. Utilizes the imaging software to find a file/document, to append (add) documents to existing records, and to retrieve information as needed.


    Organizes, sorts and files County Road project documents as directed by the Program Representative.


    Responds to requests for information from other department staff, other agencies, and the public.

    Retrieves and files records ensuring records remain in the proper order; routes records or documents to requesting party. Pulls inspection files.


    Gathers, organizes, copies, binds and prepares documents, files and informational packets.


    Opens, sorts, date stamps and distributes incoming mail; prepares outgoing mail.


    Performs other duties as assigned.


    Education and Experience:  High School Diploma and Six months of general experience or training related to office support functions; or an equivalent combination of education and experience which provides the knowledge, skills, and abilities sufficient to successfully perform the essential duties of the job.


    Preferred: Proficiency with imaging systems, Proficiency with Microsoft Word, Outlook and Excel.


    This is a Yakima County Clerical, Trades and Professional Bargaining Unit position. As a condition of employment you are required to become a member of the Unit or pay representation fees per the negotiated contract.


    Equipment Used: Telephone, various stamps, hand truck, microfilm/fiche reader/printers, scanner, copy machine, fax machine, computer and department software, printer, shredder.


    Working Conditions / Physical Requirements: Medium Work:  Exerting up to 35 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.


    Knowledge: Grammar, spelling and punctuation; Basic filing and file maintenance techniques;  Customer service techniques; Phone etiquette; Basic knowledge of modern office practices.


    Skills: Applying customer service techniques; Pulling and filing documents;  Performing basic mathematical calculations; Computers and word processing and data processing system methods of input; Office practices and procedures; Learning new work processes; Using office equipment such as phones, copiers, calculators and fax machines; Establishing and maintaining effective interpersonal relationships at all organizational levels and with the public; Communication, both oral and written, sufficient to exchange or convey information and to receive work direction.
